01What has changed

Records are now inspected as evidence, not filed and forgotten

Forms and checklists used to be a filing exercise. Today inspectors, auditors and the office use them as proof that the safety management system is actually being followed on board.

ISM Code

The Safety Management System must be supported by controlled documents and records, and the company has to show that the records the system calls for are actually kept.

SIRE 2.0

Inspectors now ask the crew to demonstrate how procedures are carried out and expect completed checklists and records to back up what they are told.

RightShip RISQ 3.2

Dry bulk inspections look for evidence that routine checks, drills and inventories are completed on time and reviewed ashore.

PSC, Flag & terminals

Missing, late or inconsistent records are a common route to deficiencies, and inspectors increasingly ask to see the history, not just the latest page.

TMSA 3 & DryBMS

Both frameworks expect companies to monitor that shipboard reporting is complete and to use the data for review and improvement across the fleet.

02The pain it causes

What this is costing ship managers today

Every vessel sends dozens of forms a month. When the process is manual, the office spends its time chasing paper instead of reading it.

Forms that take too long to fill

Word and Excel templates are slow to complete on board and easy to fill inconsistently from one vessel to the next.

Missed and late submissions

With weekly, monthly, quarterly, six-monthly and annual returns, something is always overdue, and nobody notices until an audit or inspection.

Slow form revisions

A new revision of a form often waits on an amendment from the software vendor, so ships keep using outdated versions.

Chasing by email

Superintendents and HSEQ teams spend hours sending reminders and searching inboxes for attachments.

No single place for files

Supporting files and records are scattered across email, shared drives and vessel computers, which makes them hard to find when needed.

03How it is managed today, and how it should be

Templates, inboxes and shared drives — or one schedule, one form, one record for every vessel

Shipboard reporting should run on a schedule the system enforces, with the office approving and reviewing in the same place.

Today
With e-Cloud X7
Word and Excel templates filled on board and sent as email attachments
Forms and checklists built and revised by the company, without waiting on a vendor
Submission schedules tracked in a separate spreadsheet, or not at all
Every form tied to its frequency, with alerts before and after it falls due
Form changes waiting on the vendor before ships can use the new revision
Submissions synced from ship to shore and visible to the office straight away
Office approvals given by email with no link to the record itself
Office approval required on selected forms before the next one can be submitted
Files stored on vessel PCs and shared drives with no common structure
Supporting files kept in structured cloud storage alongside the forms
Overdue returns discovered only when someone goes looking
A year-at-a-glance view of what is due, overdue, approved or rejected for each vessel
05Why e-Cloud X7

What sets e-Cloud X7 apart for your fleet

e-Cloud X7 is deliberately lightweight. It does one job well: getting the right forms and files from ship to shore, on time, in a format the office can act on.

01

Forms you control

Programmable forms and checklists let your own team set up and revise forms, so a new revision is not held up by a vendor.

02

Nothing forgotten

Frequency-based submission alerts tell ship staff what to send and when, from weekly returns to annual ones.

03

Approvals built in

Selected forms can be interlocked with office approval, so the sequence of submission and review is enforced rather than hoped for.

04

Files in the same place

Additional SharePoint-style cloud storage keeps supporting documents next to the forms they belong to.

  • Key features
  • Paperless operations
  • Programmable forms and checklists
  • Sequential submissions
  • Ship-shore sync
  • Frequency-based submission alerts
  • Interlocking submissions with office approval for selected forms
  • Additional e-cloud storage, SharePoint style
06Proven safety and return on investment

Fewer gaps in the record, less time chasing it

The return from e-Cloud X7 comes from the hours the office stops spending on reminders and the findings that never arise because the record is complete.

70+ship owners and managers as clients
100%client retention

Fewer record-keeping findings

Overdue and missing forms are flagged before an inspector sees them, which removes a frequent source of audit and inspection observations.

Hours back for the office

Superintendents and HSEQ teams see submission status at a glance instead of chasing each vessel by email.

Faster audit preparation

Completed forms, approvals and supporting files are already filed by vessel, form and period, ready to show an auditor.

07AI, pattern recognition and ease of use

Patterns in reporting, and screens built for the crew

A complete submission history shows the office where reporting discipline is slipping, while the crew get a simple tool that fits shipboard routine.

AI built in Pattern recognition Designed for seafarers

Submission trends

Status by vessel, form and month shows which ships and which returns are repeatedly late or rejected.

Sequential discipline

Sequential submissions keep forms in the right order, so gaps in a series are visible straight away.

Designed for ships and seafarers

A lightweight system with ship-shore sync and clear due-date alerts, so filling a form is quicker than the template it replaces.

08Real-time dashboards and analytics

Every form, every vessel, every month in one view

The digital filing view shows the full year for each vessel, grouped by frequency, with the status of every submission.
