Planned Maintenance

PMS Database Creation: Planned Maintenance Data Built from the Maker's Manual Up

We build, clean and migrate planned maintenance system databases for ships. Every equipment item is coded and placed in a clear hierarchy, every job is written from the maker's manual with the right calendar and running-hour intervals, critical equipment is flagged, and every spare is linked to the equipment it fits. You receive a verified database, ready to upload into AMOS, Sertica, ShipManager, TM Master, ShipNet, BASS, DNV Nauticus, PMS X7 and others, typically in less than one month per vessel.

What has changed

Your PMS is now inspected as evidence

A planned maintenance system used to be judged by whether the ship had one. Today inspectors, auditors and surveyors open it, pick an equipment item and ask the crew to prove the record is true.

ISM Code

The company must maintain the ship in line with the rules and its own procedures, and identify equipment whose sudden failure could cause a hazardous situation. The PMS is where that is shown.

Class

Survey items and machinery survey arrangements based on a planned maintenance system depend on records that match the equipment actually installed on board.

SIRE 2.0

Inspectors ask how maintenance is planned and verified, then compare the answer with overdue jobs, open defects and the critical equipment list.

RightShip RISQ 3.2

Dry bulk inspections look at equipment condition and the maintenance and defect records behind it.

TMSA 3 & DryBMS

Both expect a structured maintenance system with critical equipment identified and performance measured, so the KPIs coming out of the PMS must be believable.

PSC & Flag

When a deficiency is found on fire-fighting, life-saving or propulsion equipment, the next question is when it was last maintained and by which procedure.

The risk of waiting

What a poor PMS database costs you

A PMS is only as good as the data underneath it. Once engineers stop trusting the database, planned maintenance quietly stops happening.

  • Phantom overdue jobs

Duplicated, misconfigured or orphaned tasks inflate overdue figures that auditors and vetting inspectors read as poor maintenance.

  • Intervals nobody can justify

Jobs set by habit rather than maker guidance leave equipment over-maintained in one place and run to failure in another.

  • One-line job cards

A task that just says "overhaul pump" sends the engineer back to a manual on a shelf, so steps get skipped and records get vague.

  • Spares that do not trace

Parts not linked to their equipment and maker part number make requisitions hard to justify and leave critical spares missing when needed.

  • Critical equipment that is not marked

If critical items and their tests are not flagged, the critical equipment list, the PMS and the SMS tell three different stories.

  • Every vessel built differently

Different names, codes and structures for the same equipment mean no fleet view, no sister-ship comparison and messy procurement.

What a poor PMS database costs you
What you get

Everything you get with a PMS database engagement

Whether we build from scratch, clean what you have or move you to a new platform, the result is a structured, verified database your engineers can work from on day one.

01

Equipment hierarchy with SFI or company coding

Every maintainable item structured by system and function, from main engine down to pumps, valves and safety equipment, and coded with SFI coding or your company-specific coding from our central library so nothing in the PMS is missing on board and nothing on board is missing from the PMS.

02

Executable job plans

Maintenance tasks built from the maker's manuals, written as instructions an engineer can follow rather than one-line reminders, each attached to the right equipment.

03

Maker drawings linked to jobs and spares

Maker drawings attached to the equipment, jobs and spares they belong to, so engineers see the right drawing from the job card and the requisition.

04

Intervals, counters and running hours

Calendar intervals, running-hour triggers and counters set to maker and Class guidance, with critical jobs scheduled so they cannot slip unnoticed.

05

Critical equipment and compliance layer

Critical equipment and systems flagged in line with the ISM Code with test routines attached, Class jobs and survey items mapped, and statutory and certificate-linked tasks tied to their cycles.

06

Spares linked to equipment

Spares catalogues linked to their parent equipment with maker part numbers, so every requisition traces back to the machinery that uses the part.

07

Historical maintenance records migrated

Past maintenance history carried across from your old system or records, so running hours, last-done dates and job history continue in the new database.

08

Cleanup of an existing database

Duplicate removal, interval correction against maker and Class guidance, running-hour and counter errors fixed, and orphaned entries for equipment that no longer exists taken out.

09

Migration to your PMS platform

Software-ready files for AMOS, Sertica, ShipManager, TM Master, ShipNet, BASS, DNV Nauticus, PMS X7 and others, cleaned on the way across, with a trial import before the final upload.

10

Fleet master templates and validation report

Fleet-wide templates that standardise equipment names, codes and jobs across sister vessels, and a validation report recording what was built or changed and why.

11

Named project manager and office training

A named project manager runs your engagement from start to upload, and your office staff are trained on the new database.

How it works

A structured path from scattered manuals to a trusted PMS

We do the heavy lifting with your manuals and records, so your engineers can keep running the ship.

  1. 1

    Discovery and gap review

We review your existing PMS export, equipment list, machinery particulars, maker manuals and Class status, and list the gaps, duplicates and missing documents.

  2. 2

    Build or correct

The equipment hierarchy, SFI or company coding, job plans, intervals, Class jobs, critical equipment, maker drawings and spares links are built or corrected against maker and Class guidance, with an AI tool reading the manuals and our engineers checking the result.

  3. 3

    Validation

Each database passes a documented quality review: intervals checked against maker guidance, duplicates eliminated and cross-references verified, supported by AI-assisted checks.

  4. 4

    Trial import, upload and handover

A trial import into your PMS is checked before the final upload. We then deliver the software-ready files with the validation report, and train your office staff on the new database.

Delivery is typically less than one month per vessel, and multiple vessels can be built in parallel. Sister vessels move faster once the first database is built, because validated jobs and spares from our central library carry across with adjustments for equipment differences. Where maker documentation is missing, we reconstruct sound intervals from guidance for equivalent equipment and record the basis.

Why Synergetic

Why fleets choose Synergetic for PMS database building

We are mariners and engineers who also build Class approved PMS software, so we know what a database has to prove under inspection and how it is used in the engine room.

250+vessel databases built
3,100+ships use our software and services every year
70+ship owners and managers as clients
100%client retention

Built by people who used a PMS at sea

Databases are built by marine engineers and technical superintendents, backed by a dedicated team for database building and migration.

A central library, not a blank page

We maintain a central library database of equipment, jobs and spares with SFI coding for the whole fleet, so every new vessel starts from structured, previously validated data. 250+ vessel databases have been built this way.

Cross-checked, not copied

An AI tool reads the maker manuals, and intervals are verified against them and Class guidance, with AI-assisted validation to catch duplicates and inconsistencies a person can miss.

Software-agnostic

We work with whichever established PMS your fleet runs, and if you move to PMS X7 the same team builds and migrates your data.

Your data stays protected

Synergetic Shipping Technologies is certified to ISO 27001:2022 for information security and ISO 9001:2015 for quality management, and appraised at CMMI Level 3.

A PMS your engineers and inspectors can both trust

KPIs management can believe

Overdue figures reflect real maintenance, not phantom or misconfigured tasks.

Defensible under inspection

When an inspector pulls a critical equipment history, the records, the critical equipment list and your SMS tell the same story.

Evidence of data provenance

The validation report you keep documents how the database was built, what was corrected and on what basis.

What is PMS database creation?

PMS database creation is building the data behind a ship's planned maintenance system: the equipment hierarchy and coding, maintenance jobs, calendar and running-hour intervals, critical equipment and linked spares. Synergetic Shipping Technologies builds these databases from maker manuals and Class and statutory requirements, or cleans and migrates an existing one, and hands over software-ready files with a validation report.

Which PMS software do you work with?

The service is software-agnostic. We deliver data formatted for AMOS, Sertica, ShipManager, TM Master, ShipNet, BASS, DNV Nauticus, our own PMS X7 and others, or as structured data for your vendor's onboarding process. If you are changing platform, the same engagement serves as the migration, cleaning the data on the way across, migrating historical maintenance records and running a trial import before the final upload.

What documents do you need from us?

Ideally the maker's instruction manuals for major equipment, the vessel's equipment list or machinery particulars, Class survey status, any existing PMS export and current spares inventory records. Gaps are normal. Part of the engagement is identifying missing documentation and reconstructing sound intervals from guidance for equivalent equipment where originals are lost, with the basis recorded.

Do you use SFI coding?

Yes, and we can also apply your company-specific coding. Our database building team works from a central library of equipment, jobs and spares maintained with SFI coding. Using one coding structure means the same equipment carries the same code on every vessel, which makes sister-ship comparison, fleet-wide reporting and spares procurement far more reliable than databases where each ship was built differently.

How is critical equipment identified in the database?

Against the ISM Code requirement to identify equipment and systems whose sudden failure may result in a hazardous situation, assessed by consequence. Critical items are flagged in the database with test and standby-verification routines attached, so your critical equipment list, its maintenance evidence and your Safety Management System all tell the same story under audit.

Can you clean up an existing database instead of rebuilding it?

Yes, and it is often the right choice. A cleanup audits the existing hierarchy against the vessel's equipment list, removes duplicated and orphaned entries, corrects intervals against maker guidance, fixes running-hour and counter errors and relinks spares to their equipment. You receive a validation report documenting what changed and why, which also serves as evidence of data integrity.

How are spares linked in the database?

Each spare is linked to its parent equipment with the maker's part number, so engineers find the right part from the job they are doing and every requisition can be traced back to the machinery that uses it. This makes spares consumption visible, supports procurement decisions and helps ensure parts for critical equipment are identified.

Can you standardise PMS data across a whole fleet?

Yes. We build fleet-wide master templates that use the same equipment names, SFI codes and job structures across the fleet, then adjust each vessel for its actual equipment. Sister vessels move faster once the first database is validated, and the office gains a consistent view of maintenance, overdue jobs and spares across every ship.

How long does a PMS database take?

Delivery is typically less than one month per vessel, and multiple vessels can be built in parallel. Synergetic Shipping Technologies has built 250+ vessel databases. Each engagement has a named project manager, uses an AI tool to read the maker manuals, runs a trial import before the final upload and ends with training for your office staff.
