Inspectors now test the crew, not just the crew list
Holding the right certificates is still the minimum. Vetting and inspection schemes now look at whether each seafarer is competent, experienced and familiar with the ship, and whether the company can show how it selected, trained and appraised them.
Certificates of competency, endorsements, medical fitness and specialised training all have their own validity periods, and a lapse in any of them can stop a seafarer from serving.
Seafarer employment agreements, recruitment and placement, repatriation, hours of rest and welfare are all regulated, and records must stand up to Flag and Port State inspection.
Inspectors interview crew and observe them at work, and observations can be raised against the human element. Officer experience is reported through the inspection questionnaire and checked against charterer expectations.
RightShip inspections of dry bulk vessels look at crew familiarisation, training and competence as part of the vessel's safety picture.
Port State Control checks certificates, manning against the safe manning document and MLC compliance, and gaps can lead to deficiencies or detention.
Both frameworks expect documented recruitment, selection, familiarisation, appraisal, promotion and retention processes for ship personnel, with performance measured over time.
What crewing is costing ship managers today
Crewing teams carry heavy administrative load, and the cost of a wrong or late crew change shows up onboard and in inspections.
Planning by spreadsheet
Reliefs are planned across spreadsheets, emails and memory, so contract end dates slip and vacancies are filled at the last minute.
The wrong person for the job
Without a single view of experience, appraisals and documents, it is hard to pick the best-suited candidate for each replacement.
Documents that expire unnoticed
Certificates, visas and medicals are tracked in different places, so a lapse can surface only when a seafarer is about to join.
Duplicated work
The same seafarer data is typed into recruitment, travel, payroll and training records, creating redundancies and errors.
Losing good seafarers
Without appraisal and promotion history in one place, the people you want to retain are not always the ones you plan around.
Audit evidence on demand
When TMSA, DryBMS or a charterer asks how crew were selected and appraised, the evidence has to be pieced together.
Separate tools for every step of the crew lifecycle — or one record per seafarer, from first contact to re-joining
Crew management should follow each seafarer through a single system that plans ahead and keeps evidence automatically.
